Build the inventory by category
List desks, tables, chairs, shelving, storage, electronics, boxed supplies, and bulk surplus. Include quantities, dimensions, photographs, and condition notes.
Separate data from equipment
Remove paperwork and storage media that are not part of the donation. Follow the company’s data-retention and destruction requirements for computers, printers, drives, and network equipment.
Confirm building logistics
Ask management about loading docks, freight elevators, parking, service hours, floor protection, and insurance documentation. Include these restrictions when requesting the pickup.
Mark the final scope
Use removable labels or a floor plan to identify what goes and what stays. Assign one person who can answer questions and approve any scope change on pickup day.
